I watch marketing teams hand AI the one job it cannot do, which is deciding what they actually believe. Then they wonder why the output reads clean and says nothing.


AI is strong at framing, organization, and clarity. It turns raw notes into clear angles. It turns a messy brain dump into a flow a reader can follow. It tightens sentences so the point lands faster.


AI is not the source of your truth. It is the tool that turns your truth into a usable asset.


The order matters. I start with raw material from real work: a call note, an email thread, a customer story, a lesson we learned the hard way. I write a rough paragraph of context. I add a few lines that carry a viewpoint only my team could have.


Then AI gets to work on titles, outline, draft, and repurposing into video scripts and social.

Vague prompts produce vague content. Trend summaries with no viewpoint produce noise. Tips that would apply to any company in any industry produce nothing worth reading.


Start from one real sales moment. Answer one buyer question. State one clear viewpoint.


Give AI something human to multiply, and it will multiply it without losing the human touch.

The outputs are the same. Here's what's different.

From the outside, very little has changed from when we were a team of three.


The newsletter goes out, campaigns are running, we're exhibiting at BIBA next week, we've run a webinar, launched new web pages, prepared conference presentations, negotiated renewals, and kept every channel active. The machine looks almost exactly as it always did.


And I'm genuinely proud of that. Because AI has made it possible in a way I couldn't have imagined twelve months ago. Insight-packed meetings turned into published industry content within a couple of hours, when it used to take days. Campaigns briefed, drafted and out the door in a fraction of the time. Things that required a team now have a capable, tireless collaborator behind them.


The technology is extraordinary.


But here's the part that doesn't compress.


Beneath every output (every campaign, every event, every piece of content) sits a cascade of micro-decisions and actions that are invisible until they don't happen.


The chasing. The proofing. The aligning. The approving. The noticing the thing that's about to fall through the gap before it does.


When you have a team, this gets distributed naturally. Someone picks up what someone else drops. The collective keeps the machine running without anyone having to hold all of it consciously at once.


Solo, there is no distribution. Behind every bullet point on the to-do list is not one task but twenty, each with their own dependencies, decisions and follow-ups.


This is the mental load. And AI cannot touch it.


It can absolutely accelerate the doing...magnificently so. But it cannot distribute the owning. That part is still entirely human and right now, that human is me.

That's where AI has genuinely changed how I work. It doesn’t replace strategic thinking, but it does remove the friction (and bandwidth!) between having a good idea and getting it out into the world.


Here's how I use it to build and maintain a content calendar without it becoming a full-time job:


Start with strategy, not a blank page!

Before prompting anything, I define the themes that matter: what problems our audience is trying to solve, what conversations we want to own, and where we want to show up. AI accelerates the execution. You ABSOLUTELY still have to do the thinking. And you must be deeply prescriptive when setting up the AI project or platform. If you don't. You'll fail.


Turn one insight into many formats

A single strong point of view can become a LinkedIn post, a short article, a talk track for sales, and a question for a survey. AI helps me think across formats quickly. And anyone who knows me will know how I will insist on “sweating an asset”!


Use AI as an editorial sparring partner

I don't just use it to write. I use it to challenge a draft, punch up a headline, or sense-check whether something will actually resonate. It's the fastest way I've found to get from a rough idea to something publishable. Top tip is setting up how you want the tool to respond and giving it a personality and also importantly, making sure it has the right voice for your brand.


Build in advance, stay flexible

Having a week, or more of content shaped ahead of time means you're never scrambling. But the best content often comes from what's happening right now, so the calendar is a foundation, not a fixed map to execute against.


The marketers who will win aren't the ones who post the most. They're the ones who are most intentional about what they say and why.


AI just makes it faster to be intentional.

Most people are using AI to write posts.


I use it to build strategy, clarity, and conversion.


That’s the difference.


Because AI content alone doesn’t get clients.


Positioned content does.


Here are 3 ways I actually use AI (and how you can too):


1️⃣ I don’t ask AI to write. I make it THINK first.


Most people open ChatGPT and say:


“Write a LinkedIn post about personal branding.”


That’s why everything sounds the same.


Instead, I do this:


👉 I give AI raw thinking first


Example prompt:


“Here is my idea:

Many founders post consistently but don’t get clients because their positioning is unclear.


Break this into:

• the real problem

• why it happens

• what most people do wrong

• a stronger perspective”


Now AI is not guessing.


It’s structuring your thinking.


Then I write the post using that clarity.


Result:

Content sounds like me.

But sharper.

More strategic.


2️⃣ I train AI on my voice (and my audience)


Generic AI = generic content.


So I give AI context before asking anything.


👉 I paste:


• 2–3 of my best-performing posts

• My audience (coaches, founders, SaaS)

• My tone (direct, warm, slightly contrarian)


Example:


“This is how I write. Clear, slightly bold, not robotic.

My audience struggles with leads, positioning, and content clarity.

Now refine this draft.”


Now AI is not writing randomly.


It’s writing within my identity.


Result:

Content feels human.

Relevant.

And attracts the right people.


3️⃣ I use AI to turn one idea into a system (not just one post)


Most people use AI for one post.


I use it to build content assets.


Example:


After writing one post, I prompt:


“Turn this into:

• 3 new hooks with different angles

• 2 carousel ideas

• 1 client-focused post

• 1 contrarian take”


Now one idea becomes:


→ 5–7 pieces of content

→ Multiple angles

→ More reach + more depth


Result:

Consistency without burnout.

And messaging that compounds.


Here’s the real truth:


AI is not your writer.


AI is your thinking partner.


If your thinking is weak → AI content will be weak.

If your positioning is clear → AI becomes powerful.
